Gaines Capital Books started as a traditional bookkeeping and fractional CFO practice. Somewhere along the way we noticed a pattern: the clients with the messiest books weren't the biggest ones. They were the ones with subscription revenue. Annual contracts, monthly recognition, prepaid schedules, and a dashboard MRR number that never once matched the ledger.
So we built a practice that treats accrual accounting as the default, not the upsell. Deferred revenue and prepaid schedules are maintained monthly, not reconstructed at year-end. Reporting is something a founder can hand to an investor without a disclaimer.
Along the way we built our own systems to make that possible: acquisition pages, follow-up sequences, review scheduling, client-facing tools. Other bookkeepers started asking how we did it. That became the second half of what we do. We now package the same infrastructure so other firms can run it under their own name.
